Invoice Export & AP Automation with PSL+

If PSL+ AP Automation is enabled, invoices can be processed in DPO and automatically transferred to PSL+ after approval.


Invoice Workflow


The standard invoice process is:
Invoice Inbox → Validation → Matching → Approval → PSL+


Invoices sent to the dedicated DPO invoice email address appear in the Invoice Inbox for validation.




Matching an Invoice


Before an invoice can be sent for approval, it must be matched.


You can:

  • Match an invoice item to a P.O. item
  • Select Match without P.O.
  • Review suggested P.O.s
  • Search by P.O. number, supplier, or description






What Happens in PSL+ When an Invoice Is Matched?



Matching an invoice to a P.O. item places a hold on the corresponding PSL+ P.O. line using the T – Transferred status.
If the invoice amount is lower than the P.O. line amount, PSL+ can split the line.




Export to PSL+


Once an invoice reaches final approval, it is automatically exported from DPO to PSL+.


In PSL+:

  • An A/P Entry transaction is created.
  • The approval date is used as the transaction's effective date.
  • The transaction receives I – Imported A/P status.
  • The imported transaction must then be reviewed and completed in PSL+.




Important: AP Synchronization Is One-Way



The AP integration between DPO and PSL+ is one-way from DPO to PSL+.
This means that invoice and matching changes made in DPO can be transferred to PSL+, but changes made directly in PSL+ are not automatically reflected back in DPO.


Important: Do not unlink or reverse P.O. and invoice matches directly in PSL+. If an invoice needs to be unlinked from a P.O., the unlink must always be performed in DPO.


Making the change only in PSL+ can cause the information in DPO and PSL+ to become inconsistent.




Before unlinking an invoice from a P.O., contact DPO Support. Support must first remove the required flag from the invoice.



Once Support has confirmed that the flag has been removed:


  1. Open the relevant invoice in DPO.
  2. Remove the invoice from the approval chain.



  1. Open Match Mode.
  2. Select the linked invoice item and P.O. item.
  3. Confirm “Yes, unlink items.”
  4. Make the required corrections in DPO.


Best Practice: Always treat DPO as the source for invoice-to-P.O. matching changes. Avoid manually removing those links in PSL+.







Invoice Not Appearing in PSL+



If a fully approved invoice does not appear in PSL+, first open the invoice in DPO and check the Sync Status displayed at the top of the invoice.


The export may be on hold or fail for several reasons, including:

  • P.O. Still Pending – A P.O. linked to the invoice has not yet been fully approved.
  • Missing Supplier Country – The supplier does not have a country entered in the address information.
  • Tax Account Code Not Available – The tax account code used on the invoice does not yet exist or is not available in PSL+.
  • P.O. Distribution Line Not Available – A linked P.O. distribution line has already been transferred, closed, or relieved in PSL+.


Follow the information provided in the Sync Status and correct the issue where required.


Once the issue has been corrected, synchronization may resume automatically. If the invoice still does not appear in PSL+, check Settings → PSL+ → Show History for additional synchronization details.
