Setting Up and Using the SESAM Integration

The SESAM Integration allows you to export purchase orders (P.O.s), invoices, and receipts from DPO and prepare them for accounting in SESAM FiBu. DPO automatically generates a .tsf file in the required format, which you can download and import directly into SESAM.

Create a SESAM Export

Step 1: Open the SESAM Export Settings

  1. Go to Settings → Export SESAM.

Optional: Click “Check Issues” to identify suppliers with missing Supplier Codes.

Click here to learn how to check and add missing Supplier Codes.

Step 2: Create a New Export Batch

  1. Click “Create Export Batch”

  1. Select the relevant tab:
    • Purchase Orders
    • Invoices
    • Expenses

  1. Select the items you want to export.
  2. Click “CREATE BATCH” to generate the export batch.

Note: If P.O.s are enabled, an exclamation mark (!) next to an invoice indicates that the linked P.O. has not yet been approved. The invoice can only be exported once the P.O. is fully approved.

Step 3: Download the Export

  1. Refresh DPO to display the newly created export.
  2. Find your export batch under “Available Exports”.
  3. Download the generated .tsf file.

The file is now ready to be imported into SESAM FiBu.

Import the TSF File into SESAM

Once you have downloaded your export batch from DPO, you can import the generated .tsf file directly into SESAM.

  1. Open SESAM FiBu.
  2. Right-click inside the batch.
  3. Select the appropriate Import option.
  4. Choose the .tsf file downloaded from DPO and start the import.

The exported data will then be imported into the selected SESAM batch.

View Export Session Details

You can open any export session to review the P.O.s, invoices, or expense settlements included in the export.

  1. Click on the word “Invoice” in the season, as shown in the example.

This allows you to easily track which items were included in each export session.

Manage Export Batches

The three-dot menu (⋯) next to each export batch provides additional options for managing your exports.

Receive Invoice PDFs by Email (Batch Print)
With Batch Print, you can receive all invoice PDFs associated with an export session together via email.

Mark Invoices as Paid

Select “Mark as Paid” to mark the invoices included in the export batch as paid.

Mark an Export Batch as Completed

Select “Mark as Completed” to mark the export batch as completed. If needed, you can change the status back to “Not Completed” at any time.

Revoke an Export

Select “Revoke Export” to revoke the export. The corresponding items can then be included in a new export batch if needed.
You can also restore a previously revoked export.

Identify Exported P.O.s, Invoices, and Receipts

After exporting to SESAM, the exported items are marked accordingly in DPO.

  • Each P.O., invoice, and receipt displays an indicator showing that it has already been exported to SESAM.
  • The corresponding Export Session Number is also displayed, allowing you to track which export session the item belongs to.

You can find this information directly within the relevant item, for example, at the top of the invoice view.

Filter Items by SESAM Export Status

In DPO, you can also filter P.O.s, invoices, and receipts by their SESAM export status.

  • This allows you to quickly find items that have already been exported to SESAM or have not yet been exported.
  • This helps you keep track of your exports and easily locate the relevant items.

Tip: How to Avoid Duplicate P.O.s in SESAM

When importing P.O.s via a TSF file, SESAM allows duplicate entries within a batch. This means that importing the same P.O. multiple times can result in duplicate P.O.s in SESAM.

To avoid this, we recommend exporting P.O.s using the P.O. CSV Export in DPO and importing them through the Transfer function in SESAM instead.

How it works:

  1. Create a P.O. CSV Export in DPO.
  2. Open the Transfer function in SESAM.
  3. Select “Digital Purchase Order” as the import source.
  4. Import the CSV file.

Importing P.O.s through the Transfer function helps prevent duplicate P.O.s in SESAM.

Note: If “Digital Purchase Order” is not available as an import option in SESAM, you can contact SESAM directly to request activation.

Important: When using this method, P.O.s are not automatically marked as completed through a SESAM export session in DPO.

However, you can still create a regular SESAM export batch in DPO and mark the corresponding export session as completed. This allows you to maintain an overview of your exported P.O.s within DPO. Make sure not to import the same P.O.s into SESAM again via the TSF file if they have already been transferred using the CSV import.

Fields Included in the SESAM Export

The SESAM export may include additional accounting fields required for further processing in SESAM.

Direct Access to Invoices via the Document Viewer

If the “Beleg Viewer” license is activated in SESAM, you can open the original invoices stored in DPO directly from SESAM.

Step 1: Configure the Document Viewer

  1. Open SESAM.
  2. Navigate to “Extra” in the top menu.
  3. Select “Belegviewer-Einstellungen...” (Document Viewer Settings).

Step 2: Configure the Invoice Link

The SESAM export also includes a GUID, which provides a direct link to the corresponding invoice in DPO.

Use the following URL template:

This allows you to open invoices directly from SESAM without having to search for them manually in DPO.
