How to Export Invoices

The Export AP Automation section is your export tab for invoices in the settings. You can generate a CSV file, which can be adjusted in Excel if you need a different format.

Good to Know

  • Each export batch contains the invoices you selected during its creation.
  • You can open individual invoices directly from the batch overview.
  • The three-dot menu allows you to request invoice PDFs by email, mark invoices as paid, or complete an export.
  • If an exported invoice needs to be edited, you can revert the export to make further changes in DPO.

How to make the Invoice export

  1. Go to Settings → Export AP Automation
  2. Make sure to enable your export

Optional: Check for Missing Supplier Codes

Before creating an export, you can check whether any suppliers are missing important information.

  1. Click “Check Issues” to identify suppliers that do not have a Supplier Code assigned.
  2. You can then add the missing Supplier Codes before proceeding with the export.

Step 2: Create an Export Batch

  1. Click “Create Export Batch”.

  1. Select the invoices you want to export.
  2. Click “CREATE BATCH” to generate the export batch.

Note: If P.O.s are enabled, an exclamation mark (!) next to an invoice indicates that the linked P.O. has not yet been approved. The invoice can only be exported once the P.O. is fully approved.

Step 3: Download the Export

  1. Refresh the DPO page after creating the batch.
  2. Your new Export Batch will appear in the overview and be available for download.
  3. Download the CSV file.

Review Exported Invoices

You can review which invoices are included in an export batch at any time.

  1. Open the relevant batch in the export overview to see the invoices included in that session.
  2. Click an invoice to open it directly in DPO and review its details.

Identify Exported Invoices

After exporting invoices via AP Automation, the exported invoices are marked accordingly in DPO.

  • Each invoice displays an indicator showing that it has already been exported via AP Automation.
  • The corresponding Export Session Number is also displayed, allowing you to track which export session the invoice belongs to.

You can find this information at the top of the invoice view.

Additional Export Batch Options

The three-dot menu (⋯) next to an export batch provides several additional options.

Receive Invoice PDFs by Email
You can request all invoice PDFs included in an export batch to be sent to you by email.
Select the corresponding option from the three-dot menu. The invoice PDFs will then be automatically sent to your email address.

Mark All Invoices as Paid
If the invoices included in an export batch have already been paid, you can mark them all as “Paid” at once.
This saves time by eliminating the need to update the payment status of each invoice individually.

Mark the Export Batch as Completed
Once you have finished processing an export, you can mark the batch as “Completed”.
This helps you distinguish between completed exports and batches that still require attention.

Revert an Export
If you need to make changes to an invoice that has already been exported, you can revert the export.
This allows you to return to DPO and make the necessary changes to the invoice.

Filter Invoices by AP Automation Export Status

In the Invoice Overview, you can filter invoices by their AP Automation export status.

  • This allows you to quickly find invoices that have already been exported via AP Automation or have not yet been exported.
  • This helps you keep track of your exports and easily locate the relevant invoices.
