Edit Mode in DPO

The Edit Mode allows you to make changes to invoice data, even if it is still linked to a purchase order (P.O.). However, not all fields are editable. The editability depends on whether the invoice is approved and which parts are linked.

What can you edit in Edit Mode?


General invoice-level data such as:

  • Total Gross
  • Invoice Number
  • Supplier IBAN
  • Department


Not editable: Line items that are already linked to a purchase order

  • Item Gross
  • Taxes
  • Item Net/Gross
  • Supplier


Edit Chart of Accounts (without Edit Mode)


If you only need to update the Chart of Accounts, you can do so without removing the invoice from the approval workflow.

There are two ways to edit the account coding:


See the two options you have:


Option 1: Edit in Image Focus


  1. Open the item you want to edit





  1. Click the pencil icon to make the fields editable


 




  1. Make your changes to account numbers, cost centers etc
  2. Click Save Changes to apply your changes





Option 2: Edit in Item Focus


Use Item Focus for a quicker overview of all invoice items together.


  1. Switch to Item Focus using the toggle in the top-right corner
  2. Click the pencil icon next to Chart of Accounts




  1. Make your changes
  2. Click Save Changes


Note: Editing the Chart of Accounts does not remove the invoice from the approval workflow.





How to enter Edit Mode


  1. Open your invoice
  2. Click on the top: “Edit Mode”
  3. Confirm that you want to remove the invoice from the approval workflow





  1. Make your desired changes to the available fields
  2. Click “Save” to confirm the changes


Note that Taxes and supplier can only be changed after an unlink has been performed from the P.O.
