Invoice Overview & Invoice Details

The Invoice Overview provides a central view of all invoices in DPO. You can review invoice and supplier information, check approval and matching statuses, search and filter invoices, and access additional actions directly from the overview. This guide explains how to navigate the Invoice Overview, understand invoice statuses, switch between different invoice views, and use Match Mode.


Navigation


  1. Go to Invoices in the main navigation to access the Invoice Overview.

Here, you can see all invoices available to you and quickly identify their current processing, approval, and matching status.


Good to Know


  • View your invoices in one place, including their approval and P.O. matching status.
  • Use status colors to identify the current processing status at a glance.
  • Filter invoices by criteria such as department, supplier, status, or date. Additional filters may be available depending on your DPO configuration.
  • Use Advanced Filters for more detailed searches.
  • Download invoices as PDFs, individually or in batches.


 





Invoice Display & Status Information


Each invoice is presented in its own section, containing the following elements:


General Information

  • Supplier name
  • Invoice number
  • Supplier code (if assigned)
  • Invoice date


Status Indicators

  • Approval status (e.g. Final Approved, Pending, Declined)
  • Matching status (e.g. Matched, Not Matched)
  • Color coding for fast visual identification of processing status


Amount Display

  • Net Amount: Value excluding taxes and fees
  • Gross Amount: Total including taxes




Image Focus & Item Focus

Two different invoice views are available.


Image Focus (Default View)
In Image Focus:

  • the invoice image is displayed on the left
  • the invoice items are displayed on the right


This view is especially useful for visually reviewing the invoice.








Item Focus


Using the switcher in the top right corner of the invoice, you can switch to:

  • Item Focus

In this view, all invoice items are displayed in one central overview, making it easier and faster to review and edit positions.







Match Mode

In addition to Image Focus and Item Focus, you can use Match Mode to manage the connection between an invoice and its Purchase Order.


Open the invoice and click “Match Mode” to access the matching view.


In Match Mode, you can:


  • Link an invoice item to a P.O. item
  • Review existing P.O. links
  • Unlink an invoice item from a P.O. item
  • Review the relationship between the invoice and the linked P.O.


Match Mode is especially useful if an invoice has been linked incorrectly or if you need to adjust the matching after the invoice has been processed. For detailed instructions, see How to Match an Invoice to a P.O.






Invoice Actions & Details


When you open an invoice, additional information and actions are available.


  • Invoice Details – Review the complete invoice information, attachments, and comments.
  • Approval Workflow – View the approval chain, including the current status and responsible approvers.
  • Linked P.O.s – Open the Purchase Orders linked to the invoice.
  • Download Invoice – Download the invoice document for your records.
  • Edit Mode – Make changes to invoice information. Depending on the invoice status and existing P.O. links, some fields may not be editable.
  • Additional Actions – Use the three-dot menu (⋯) to access additional options, such as removing the invoice from the approval workflow when applicable.







Tracking Sheet Overview



The tracking sheet provides additional information about the relationship between the invoice and its linked P.O.


Selected Invoice – Shows the invoice you are currently viewing and its associated items.
Linked P.O. – Shows the Purchase Order matched to the invoice, including the corresponding cost information.
Linked Invoices to P.O. – Shows other invoices that have also been linked to the same Purchase Order.









When an invoice is matched to a Purchase Order, DPO displays the relationship between the invoice item and P.O. item.


  • This allows you to review whether the invoiced amount is over or under the corresponding P.O. item and helps you monitor how much of the P.O. has already been invoiced.
  • If the match needs to be changed, open Match Mode to link or unlink the relevant invoice and P.O. items.
