Add Attachments to an invoice

Attachments can be added to an invoice at any time, regardless of the invoice status, whether it is Pending, Fully Approved, Matched, or Unmatched.

How to add attachments to an invoice

The attachment feature allows you to add supporting files directly to an invoice for easy reference.

  1. Open the invoice
  2. Select the Attachments tab

Attachments can include contracts, receipts, shipping documents, corrected invoices, and other supporting files. There is no restriction based on the invoice status.

  1. In the Manage Attachments window, upload files from your device
  2. Save the attachments to store them with the invoice

Supported file types

You can upload any common file format, such as:

  • PDF (.pdf)
  • Excel (.xls, .xlsx)
  • Word (.doc, .docx)
  • Images (.jpg, .png,)
  • Text files (.txt)
  • ZIP archives (.zip)

Unable to Add Attachments?

If you cannot add attachments to an invoice, this is usually because you don't have the required permissions to manage invoices.

To enable this functionality, an administrator needs to create or assign a User Role that allows invoice editing.

How to enable the permission:

  1. Go to Settings → User Roles.
  2. Click “Add User Role” to create a new role.
  3. Enter a name for the role.

  1. Under Permissions, enable “Edit Invoices” by selecting “Yes.”

  1. Under Members, assign the role to the relevant user.
  2. Click “Save” to save the role.

Once the role has been assigned, the user will have the required permission to edit invoices and add attachments.

Tip: If a suitable User Role already exists, you can assign it to the user instead of creating a new one.
