How to Set Up and Use P.O. Line Item Components

The P.O. Line Item Components feature allows you to create custom fields for Purchase Order items, such as job numbers, internal codes, delivery methods, or other project-specific information.
Components help you standardize the information entered on P.O.s and can also be included in exports.

DPO supports components for:

  • P.O. Items – Information assigned to individual P.O. line items.
  • Whole P.O.s – Information that applies to the entire Purchase Order.

How to Set Up P.O. Line Item Components

  1. Go to Settings.
  2. Open P.O. Line Item Components.

Create a Component Section

Sections allow you to organize related components.

  1. Click + Add Section

  1. Click the pencil icon to edit the new section.
  2. Enter a Title and, optionally, a Description.
  3. Choose whether the information should be included in exports.
  4. Save your changes.

Add a Component

Once the section has been created, you can add the fields users will complete when working with a P.O.

  1. Click the pencil icon to create and configure a component.
  2. Enter a name for the component.
  3. Optionally, add a Description.
  4. Select the required Field Type.

Select a Field Type

Depending on the information you want to collect, you can choose from different field types:

  • Checkbox
  • Radio buttons
  • Drop-Down
  • Date/Time
  • Date
  • Textfield-single line
  • Textarea-multiple lines

For information that should be selected from predefined options, such as job numbers or delivery methods, a Drop-Down can help standardize the information entered by users.

Add Values

For field types that use predefined selections, you can add the available values.

  1. Scroll to the Values section.
  2. Click + Add Value.
  3. Enter the required value.
  4. Repeat this step for any additional values.

For example:

  • Job #1001
  • Job #1002
  • Job #1003

Configure Display & Behavior

Depending on the component and where it is used, additional settings are available.

These can include:

  • Filter values as you type – Helps users find values in longer lists.
  • Required for each Purchase Order – Makes the component mandatory.
  • Visible? – Determines whether the component is displayed to users.
  • Include in P.O. Preview – Displays the information in the P.O. preview. This option is available for components that apply to the whole P.O.
  • Show as Filter List – Makes the component available for filtering. This option is available for components that apply to the whole P.O.
  • Include in Export – Determines whether the component information is included when exporting data.

Using P.O. Line Item Components

Once configured, P.O. Line Item Components become available when creating P.O. items.

  1. Create or edit a P.O. item.
  2. Locate the configured component.
  3. Enter or select the required value.
  4. Complete the remaining P.O. item information.

If a component has been configured as required, it must be completed before the P.O. can be created.

View Components on a P.O.

Once the P.O. has been created, the component information used for each item remains available directly on the P.O.

  1. Open the P.O.
  2. Select the relevant P.O. item.
  3. Open P.O. Line Item Components to view the component information assigned to that item.

Components for the Whole P.O.

Components can also be configured for information that applies to the entire Purchase Order rather than an individual P.O. item.

This is useful for information such as a general job number, project reference, or other information that should apply to the complete P.O.
Depending on the configuration, whole-P.O. components can also be displayed in the P.O. preview and made available as filters.
