Chart of Accounts
The Chart of Accounts feature in DPO allows you to assign account codes to P.O. items, invoices, and expenses for accurate financial tracking and reporting. This guide explains how to set up your Chart of Accounts, control how account codes are displayed and used, import larger account lists, manage user permissions, and give users access to manage the Chart of Accounts.

How to Set Up the Chart of Accounts
- Got to your Settings → Chart of Accounts
- At the top of the page, click Add new account
- Enter:
- Account name (e.g., Marketing Travel)
- Account code (e.g., 4010)
- Optional: Assign a parent account if you’re working with sub-categories

Display settings
Choose to show:
- Just the name
- Just the code
- Or both in dropdown lists (Name + Code)

Lock the Account Code List (Optional for P.O.s Only)
Enable this setting if users should only be able to select account codes from the predefined Chart of Accounts.
When enabled:
- Users cannot manually enter account codes that are not included in the predefined list.
- Only available account codes from the Chart of Accounts can be selected.

Permission for Account Fields
If a user should be able to create P.O.s, invoices, or expense reports with or without account coding, enable the corresponding permission in the user settings.
How to Configure the Permission
- Open Settings → Users
- Open the desired user profile
- Click Permissions on the left side
- Decide whether the user should:
- only code accounts
- only edit
- or do both
Permissions can be adjusted at any time.

Import Large Lists (Optional)
If you want to import a large list, the DPO Support Team can handle the import for you.
How it works
- Open Settings → Import
- Download the appropriate import template
- Fill in all relevant information such as codes and names
- Send the completed file to:
support@digitalpurchaseorder.com
The DPO Support Team will then upload the data for you.

Create a User Role for Chart of Accounts
You can create a dedicated user role for users who need to manage the Chart of Accounts without giving them access to the entire Settings section.
- Go to Settings → User Roles.
- Create or select a role and choose the appropriate level of access to the Chart of Accounts:
- Read – View the Chart of Accounts without making changes.
- Read & Write – View and edit the Chart of Accounts.
- Read, Write & Delete – View, edit, and delete entries in the Chart of Accounts.
- Under Members, assign the users who should have this role.
