**Step 6: Define Fiscal Year and Account Length**

###### Export Invoices to DATEV

![](https://storage.crisp.chat/users/helpdesk/website/-/7/e/f/8/7ef8b3dbb012a000/image_gvhsbr.png =848xauto)

**Step 2: Select the Batch Period**
*Define the period for the DATEV export.*

Depending on your requirements, you can select:
* A specific **month**
* A **custom period**

The invoices in the batch will be transferred to DATEV for the selected period.

**Step 3: Select Invoices**
*Review the invoices included in the batch.*

**Step 5: Review the Export**
*After the export, the session will be displayed with its current status.*

If all invoices have been successfully exported, the session will be **marked in green** and display a status such as “**Successful (2/2)**”. This indicates that both invoices were successfully transferred to DATEV.

If only some invoices were successfully exported or errors occurred, click “**Details**” to view more information.
In the **Session Details**, you can review the export result for each individual invoice. This allows you to see which invoices **were successfully** exported and which **encountered errors**.

###### Identify Exported Invoices
After exporting invoices to DATEV, the exported invoices are marked accordingly in DPO.

* Each invoice displays an indicator showing that it has already been **exported to DATEV**.
* The corresponding **Export Session Number** is also displayed, allowing you to track which export session the invoice belongs to.

You can find this information **at the top of the invoice view**.

###### What Is Transferred to DATEV?

After a **successful export, the invoice data is transferred to DATEV** for further accounting processing.

The DATEV integration is designed around invoices that have already been **reviewed and fully approved in DPO** before export.

After the export:
* invoice PDFs are automatically transferred to the DATEV company folder
* booking records are sent to the DATEV data center

*The data will then be available in the DATEV Arbeitsplatz.*

###### View the Transferred Invoices in DATEV

To view the transferred invoice PDFs:

1. Open **DATEV**.
2. Open the **"Overview"**.

### Working with Exported Invoices in DATEV

The DATEV integration assumes that **invoices have already been fully reviewed and approved in DPO**.

For this reason, DATEV Unternehmen online is currently mainly used for:
* ${color}[#094a5f](**transferring booking records**)
* ${color}[#094a5f](**storing PDF invoices**)

|| An additional approval process inside DATEV would create duplicate review steps and unnecessarily slow down the workflow.

Alternatively, the process can be configured so that **approved invoices are automatically made available to the tax advisor within the DATEV client after export.**

This requires corresponding settings in DATEV Unternehmen online.

### **Fetch the invoices in DATEV** and prepare them for posting

**Step 1**
Open your client in the workspace (DATEV Arbeitsplatz).

**Step 2**
Go to “Add client” (Mandanten ergänzen) and retrieve the data from the data center (Rechenzentrum).

![](https://storage.crisp.chat/users/helpdesk/website/-/7/e/f/8/7ef8b3dbb012a000/image_1x5pvso.png =1127xauto)

**Step 3**
Click: Import

![](https://storage.crisp.chat/users/helpdesk/website/-/7/e/f/8/7ef8b3dbb012a000/download-1_wtp0r3.png =1070xauto)

Wait until the message confirms that the data was successfully imported.

![](https://storage.crisp.chat/users/helpdesk/website/-/7/e/f/8/7ef8b3dbb012a000/image_1qhad21.png)

**Step 4**
Wait until the data has been retrieved, then go to Post documents (Belege buchen) and click on Add

![](https://storage.crisp.chat/users/helpdesk/website/-/7/e/f/8/7ef8b3dbb012a000/image_8uq9ru.png =1042xauto)

###### Missing Invoices in DATEV

If an invoice is missing during the import, even though it was successfully exported from DPO to DATEV, it may be because the supplier used in DPO does not yet exist in DATEV.

In this case, DATEV will display an:
* **Import Protocol** (*Importprotokoll*)
and ask whether invoices with errors should also be imported.

![](https://storage.crisp.chat/users/helpdesk/website/-/7/e/f/8/7ef8b3dbb012a000/image_zakf52.png)

**Important**

If you select:

* **“Import only correct booking records”**
(*Nur korrekte Buchungssätze übernehmen*)
all invoices containing errors will be skipped and removed from the import.

###### How to Reimport the Invoice

To import the invoice again:

1. Revoke the invoice export in DPO
2. Sync/export the invoice to DATEV again
3. Repeat the import process in DATEV

The invoice will then appear again in DATEV and can be imported successfully again.

###### Disconnect DATEV

*If the existing DATEV connection is no longer required, it can be disconnected from DPO.*

1. Go to **Settings → DATEV.**
2. Review the current connection status.
3. Click **Disconnect**.

||| Only disconnect the integration if the existing DATEV connection should no longer be used for invoice exports.
