Managing Users in DPO

The Users section provides administrators with an overview of all users and their access within the project. From the User Management overview, you can review key information such as user roles, departments, visibility, approval levels, and comment permissions without opening each individual user profile.


User Overview


To access User Management, go to:
Settings → Users






User Overview


The User Management table displays key information for each user directly in the overview.


Users can be sorted by the available columns, making it easier to find specific users or review how users are configured.


The overview includes information such as:

  • User / Email
  • Position
  • Role
  • Approval Levels for Purchase Orders, Invoices, and Expenses

This allows administrators to quickly identify a user's main responsibilities without opening their profile.






View User Details


Click the arrow next to a user to expand their information.


The expanded view provides additional details about the user's configuration, including:

  • Visibility
  • Departments
  • Roles
  • Approval Levels
  • Comment Permissions


This makes it easier to review a user's access and approval responsibilities directly from the overview.






Edit Existing Users


  1. To make changes to an existing user's configuration:
  2. Go to Settings → Users.
  3. Find the relevant user.
  4. Click the pencil icon.
  5. Update the required settings.
  6. Click Save.





Copy an Existing User


If a new user should have a similar setup to an existing user, you can use Copy User.


Instead of configuring the new user from scratch, the existing user's configuration can be used as a starting point and adjusted before sending the invitation.


To copy a user:


  1. Go to Settings → Users.
  2. Find the user whose configuration you want to use.
  3. Open the three-dot menu.
  4. Select Copy User.




  1. Enter the new user's personal information.
  2. Review the copied configuration and make any required changes.
  3. Send the invitation.


The copied user serves as a template, allowing relevant configuration and permissions to be inherited and adjusted before the invitation is completed


Tip: Copy User is particularly useful when a new user requires similar departments, roles, comment settings, and permissions as an existing user.








Delete a User


If a user should no longer have access to the project, they can be removed from the Users section.


  1. Go to Settings → Users.
  2. Find the relevant user.
  3. Open the three-dot menu.
  4. Select Delete.





Why Is the Delete Option Not Available?

If the user is still assigned to an approval level, they cannot be deleted until those approval assignments have been removed.


  1. Open the user using the pencil icon.
  2. Go to Approval Levels.
  3. Remove the user's approval levels for P.O.s, Invoices, and Expenses.
  4. Click Save.
  5. Return to the Users overview and delete the user.

This prevents users who are still required within an approval workflow from being removed accidentally.





Invite a New User



To add someone who does not yet have access to the project, click + INVITE NEW USERS.
During the invitation process, you can configure the new user's visibility, departments, approval levels, roles, permissions, and comment settings.
