Chart of Accounts

The Chart of Accounts feature in Digital Purchase Order allows you to assign account codes to P.O. items for accurate financial tracking. It's essential for managing department budgets, monitoring cost centers, and aligning with accounting systems. This guide shows you how to set up your chart of accounts, import multiple entries, and apply codes during P.O. creation for better financial control.


How to Set Up the Chart of Accounts


  1. Got to the Admin Section > Chart of Accounts
  2. At the top of the page, click Add new account
  3. Enter:
  • Account name (e.g., Marketing Travel)
  • Account code (e.g., 4010)


  1. Optional: Assign a parent account if you’re working with sub-categories






Display settings

Choose to show:


  • Just the name
  • Just the code
  • Or both in dropdown lists (Name + Code)

 




Lock the Account Code List (Optional)


  • Enable this setting to prevent users from entering unapproved codes
  • Only the predefined list will be available during P.O. creation



 



 Import Large Lists (Optional)


If you have a large list, let us know and we can import it for you. You can find the import sheet under Administration > Import—download the Chart of Accounts Import Sheet, fill in all relevant codes and names, and send the completed file to support.ap@digitalpurchaseorder.com. DPO Support will upload it for you.



If a user should be able to create a P.O., invoice, or Top Sheet with or without completing the account fields, enable the corresponding permission in the user settings.
